A plain breakdown of what you pay to set up an AI phone receptionist, what it costs to run each month and how to estimate it for your own call volume.

An AI receptionist has two costs: a one-time setup fee and ongoing usage. Setup covers writing the script, connecting your calendar and testing, and with me it is a fixed $499. Usage is billed by the voice AI platform and the phone line per minute of call time, so a business that gets a handful of short calls a day pays far less than one handling calls all day. You only pay for minutes the AI actually talks.
Below is what each part of the cost covers, what affects the monthly bill and how to work out whether it makes sense for your business.
Quick answer: what you pay for
- Setup: a one-time fee for the script, integrations, testing and tuning. $499 fixed with me.
- Voice AI usage: charged per minute by the platform, such as Vapi or Retell, in your name.
- Phone line: a number and per-minute call charges from a provider such as Twilio, or forwarding from your existing number.
- Optional extras: custom integrations with dispatch, practice management or CRM software, quoted separately.
What the setup fee covers
A good AI receptionist is mostly preparation. The setup work includes:
- A call script built around your services, prices, hours, service area and the questions callers ask most.
- Rules for what the AI can book on its own and what it must pass to you.
- Calendar or booking tool connection, such as Google Calendar or Calendly, so it only offers real free slots.
- Call summaries sent to you by text, email or into your CRM straight after each call.
- Live transfer for urgent calls and screening for sales pitches.
- Test calls covering normal, awkward and edge cases, then two weeks of tuning on real calls.
What affects the monthly running cost
Because usage is billed per minute, three things decide your monthly bill:
- How many calls the AI answers. Many businesses only route after-hours or missed calls to the AI, which keeps minutes low.
- How long each call lasts. A focused script that collects details and books quickly keeps calls short.
- The voice and model you choose. More natural voices and more capable models can cost a little more per minute.
Before launch you get an estimate based on your current call volume, so there are no surprises. All platform accounts are created in your name, so you see every charge directly.
AI receptionist vs answering service vs hiring
A human answering service usually charges a monthly plan or a fee per call, and a part-time receptionist is a wage plus management time. An AI receptionist is billed per minute and works around the clock, including nights and weekends, which is when many service businesses miss calls.
The trade-off is judgement. A person handles upset callers and unusual requests better. That is why a good setup transfers anything sensitive or urgent straight to you, and uses the AI for the predictable part: answering common questions, taking details and booking.
How to tell if it is worth it
Look at your missed calls for a typical week. If several of them were people who needed a job done, and some never called back, each one is likely work that went to a competitor. If one or two extra jobs a month cover the running cost, the AI receptionist pays for itself. Businesses that benefit most include plumbers, HVAC and electrical contractors, clinics, salons and law firms, where callers want an answer now.
Ways to keep costs down
- Start in overflow or after-hours mode, so the AI only answers when you cannot.
- Keep the script focused on collecting details and booking, not long conversations.
- Filter spam and sales calls early.
- Review call summaries in the first weeks and trim anything the AI does not need to say.
Questions to ask before you buy
AI receptionist offers vary a lot, so ask a few questions before signing anything:
- Whose accounts are they? The voice platform and phone accounts should be in your name, so you can see usage and keep the setup if you change provider.
- How are minutes billed? Check whether you pay only for minutes the AI is on a call, and whether there is a minimum monthly charge.
- Can it transfer calls? Make sure urgent callers can reach a person, and that you control when that happens.
- Where do summaries go? A summary by text or email straight after each call is the minimum. CRM entry is better if you use one.
- How is it tuned? The first weeks of real calls always show gaps in the script. Ask who reviews calls and updates the script.
- What happens when it does not know? It should take a message and promise a callback rather than guess.
What a typical call looks like
A homeowner calls a plumbing company at 9pm about a leaking water heater. The AI answers with the company name, asks what the problem is, checks the address is in the service area, explains the call-out process and offers the first slot tomorrow morning. It confirms the booking, texts the customer a confirmation and sends the plumber a summary with the address, the problem and the time. If the caller says water is flooding the floor, the AI transfers the call straight to the on-call number instead.
That is the level of detail to plan for: what the AI asks, what it can decide and when it hands over.
Next steps
If you want callers answered every time without hiring, see the AI receptionist setup page for what is included. If most of your enquiries come through messages rather than calls, a WhatsApp AI chatbot or an AI chatbot for your website may be a better first step.
Frequently asked questions
How much does an AI receptionist cost per month?
Running costs are mostly per-minute charges from the voice AI platform and the phone line, so the monthly bill depends on how many calls you get and how long they last. Ask for an estimate based on your real call volume before you commit.
Is an AI receptionist cheaper than a human answering service?
For most small businesses, yes, because you pay per minute instead of a monthly seat or per-call fee. A human service can still be the better fit for calls that need judgement or empathy.
Can I keep my existing business number?
Yes. Calls are usually forwarded from your current number, either all the time, after hours or only when you do not answer.
What does the setup fee cover?
Writing the call script, connecting your calendar or booking tool, setting up call summaries and transfers, testing with real scenarios and tuning after launch.
