n8n vs Zapier vs Make: which automation tool should you use?

Use Zapier if you want the easiest setup for simple, low-volume tasks. Use Make if you want visual multi-step workflows at good value. Use n8n if your workflows are complex, high volume or AI-heavy, or you want to self-host to control cost and data. Many small businesses start on Zapier and move heavier workflows to Make or n8n as their bills grow.

Here is how the three compare on the things that matter when you are paying for them every month.

Quick comparison

  • Ease of use: Zapier is the simplest. Make is visual but takes a little learning. n8n is the most technical of the three.
  • App connections: Zapier has the widest library. Make is close behind. n8n has fewer ready-made nodes but connects to almost anything with an API.
  • Pricing model: Zapier charges by tasks, Make by operations, and n8n Cloud by executions. Self-hosted n8n costs only the server.
  • Complex logic: Make and n8n handle branches, loops and error paths better than Zapier.
  • AI steps: all three connect to OpenAI and similar models. n8n has the most flexible options for building AI agents and multi-step AI chains.
  • Data control: n8n can run on your own server, so data stays under your control.

When Zapier is the right choice

Zapier is ideal when you need a few simple automations working today: a form entry into Google Sheets, a new lead into your CRM, a Slack alert when a payment arrives. Anyone on your team can follow it, and its app library covers almost every popular tool. The downside shows up as volume grows. Because you pay per task, a busy workflow with several steps can become expensive.

When Make is the right choice

Make suits multi-step workflows with some logic, such as routing leads differently by budget or location, formatting data and updating several apps at once. The visual canvas makes complex flows easier to follow than a long Zapier list, and it often costs less for the same work. It takes a little longer to learn, and very large scenarios can get hard to maintain without good naming.

When n8n is the right choice

n8n is the strongest option when:

  • You run high volumes and want predictable costs by self-hosting.
  • Your workflows include AI steps, such as classifying messages, summarising calls or drafting replies.
  • You need custom API calls or code that other tools make awkward.
  • You want data to stay on your own server.

The trade-off is setup and maintenance. Self-hosting means someone has to set up the server, SSL, backups and updates. That is part of what an n8n setup service takes care of.

Cost: how to compare fairly

The plans are not like for like, so compare using your own workflows:

  1. List the automations you need and roughly how often each runs per month.
  2. Count the steps in each one.
  3. Check the pricing page of each tool for that volume.
  4. For self-hosted n8n, add the monthly cost of a small server and the time to maintain it.

For a few simple automations, Zapier's convenience is often worth the price. For dozens of busy workflows, the difference can be large.

A common path for small businesses

Many businesses start with Zapier because it is quick. As automations multiply, they rebuild the heaviest ones in Make or n8n and keep Zapier for the simple ones. There is no need to move everything at once. Start with the workflows that cost the most or break the most.

Example: the same workflow in each tool

Take a common workflow: a new website enquiry arrives, gets added to the CRM, is scored by AI for budget and urgency, and hot leads trigger a Slack alert and an instant email reply.

  • In Zapier, this is a straightforward multi-step Zap with a filter. It is quick to build, and each step counts as a task every time it runs.
  • In Make, it is a visual scenario with a router splitting hot and cold leads. It is easy to see the whole flow at a glance and usually costs less per run.
  • In n8n, it is a workflow with an AI node and an IF node. Self-hosted, the cost does not grow with each run, and you can add custom code if the scoring needs it.

For a business getting a few enquiries a week, any of the three is fine. For one getting hundreds, the pricing model starts to matter a lot.

Reliability and maintenance

Whichever tool you use, automations need looking after. Apps change their APIs, passwords expire and data arrives in unexpected formats. Good practice is the same everywhere:

  • Turn on error notifications so failed runs are noticed the same day.
  • Name every step clearly so someone else can follow it.
  • Keep a short document listing each automation, what triggers it and who owns it.
  • Review run history monthly for workflows that fail or run more often than expected.

Self-hosted n8n adds server maintenance: updates, backups and monitoring. Budget a little time for this, or have it handled as part of a setup.

Need help choosing or building?

If you want workflows built properly, with error alerts and documentation, see n8n automation services. For lead follow-up specifically, the AI lead follow-up automation offer is a fixed $399 setup on the tool that suits you, and the AI automation page covers larger projects.

Frequently asked questions

Is n8n better than Zapier?

Not for everyone. Zapier is easier for simple tasks and has the most app connections. n8n is better for complex, high-volume or AI-heavy workflows and can be self-hosted to keep costs predictable.

Is n8n free?

The self-hosted version can be run on your own server, so you pay for hosting rather than per task. n8n Cloud is a paid hosted plan.

Is Make cheaper than Zapier?

Make often works out cheaper for multi-step workflows because of how it counts operations, but it depends on your volume. Compare both with your real workflows.

Can I move my Zapier workflows to n8n?

Yes. Workflows are rebuilt in n8n, tested side by side with the originals and switched over once they match.
